Spring Pre-Registration 2008-2009

Here is the information you need about Paper and Electronic Registration Forms, GSUSA Dues , Lifetime Membership , Membership Dues Summary Forms, and Troop Financial Report Forms. Return all completed forms to the Service Unit Registrar. Click for a printable copy of these instructions .

Paper:

• Girl Scouts of Northern California has new registration forms for the 2008-2009 year.
• The paper forms from Council come blank, not pre-printed as in the past.
• These are available from our SU-1 Registrar, .

• However, new this spring on our Palo Alto Web site are “fillable” PDF forms you can type on, then print, sign, and return to the SU Registrar.
• Leaders can access “pre-printed”, but still editable, PDF forms for their Troop by following the Troop Information Form link previously emailed to you from the SU 1 Registrar.
  • You will need the Leaders' ID and password.
  • Email the Registrar if you need another copy of that email containing your link.
• Click on any Girl or Adult name on the Troop Information Form to download a pre-filled PDF form for that Member.
  • Be patient, it may take a minute for your computer to load and display the form.
• You can either print it to hand to a parent/guardian or attach it to an email to forward to a parent/guardian.
  
  
• Faster yet, on the Troop Information Form click on any blue-highlighted GS ID Number to generate a personalized email to that Member with a special link they can use to download, type, and print their own pre-filled PDF form without needing any User ID or Password.
  • You can customize the generic email message,  but don’t change the “ http://”  link that is particular for each Member (and don’t copy or re-address one Member’s custom email to send it to a different Member). 
• If we don’t have their email address for some reason, they can fill in a blank PDF from the Forms area of our Web site with no UserID or Password required.  Or you can copy and email them the direct links --

• Each year, a new Girl Registration Form must be completed and signed for each girl.
• Be sure that all sections are filled out completely and that each girl form is signed by a parent or guardian.
• Please insure that the Racial/Ethnic information is completed on both the Girl and Adult Forms.
  • If it is not completed, please fill in the boxes based on your best information.

• All participating adults need to complete an Adult Registration Form, and pay dues annually unless they are Lifetime Members.
• It is not required for all parents to register and become Members.
• An adult member can be involved with more than one troop but should resister only once a year with one troop. If s/he leads a troop, s/he should register with that troop.
• Each Troop must have only one designated Leader who is the contact person to receive mail, etc.
  • S/he can have more than one Co-Leader or Assistant Leader.
• A troop registration cannot be processed if its troop leader is not registered.

• Completed registration forms and the Troop Membership Dues Summary Form are due to the SU-1 Registrar by May 23, 2008.
• Forms can be brought to the May Leaders Meeting on May 19 or mailed to the Registrar at 315 West Meadow Drive, Palo Alto, CA  94306 or dropped off in the drop box on the front porch.
  • Do NOT mail your registrations to the Council.

• National Membership Dues are $10.00 per year. Please collect a check payable to GSNC or cash for each completed registration form.
• Both girls and adults pay the same Membership Dues amount.
• Dues provide activity insurance and support the development of national program resources.
• All Membership dues are sent directly to GSUSA. None of this money remains in the Council or Service Unit.
• Credit Card Payment:
  • If parent and daughter register with the same troop at the same time, Credit Card information should be recorded only on the Girl Registration form. “See girl’s form” should be written in the credit card information section on the adult registration form. Do not write credit card information on both forms.

• Senior troop leaders should remind their senior girl members who are going to graduate in June that they can register as Lifetime members at a discount rate.
• Graduating seniors can fill out a blank Adult Registration Form and mail it with fee directly to the Council office after they graduate in June but before September 15.
• Forms should be submitted separately and must include the correct fee of $130 and be clearly marked “Senior Lifetime Membership”.
• Senior Lifetime registrations should not be submitted with your spring registrations.

• Previously registered Lifetime members do not have to fill out a registration form every year.
• Lifetime members can submit a registration form to update their information – please indicate “Lifetime Update” on the registration form.
• They should not be included in the count of re-registering adults at this time.

• The Leader’s Troop Information Form also has a new button that will generate a pre-filled Membership Dues Summary form PDF.
• Just review (and update if needed) the pre-filled fields to reflect the 2008-2009 year, enter the counts and amounts, then print.
• Blank paper forms are also available from the Registrar.
• Submit to the SU-1 Registrar with your Girl and Adult Registration forms. 

• All Troops must submit a completed Troop Finance Form.
• Blank paper forms are available from the SU-1 Registrar.
• Printable (not on-line fillable) PDF forms are available from GSNC.
• Where do I get a fillable PDF of this form? Click the new button on the Troop Information Form for your troop!
• Return completed forms to the SU-1 Registrar with your registration forms or to the LSM after June 1st.

• Registrations will not be processed by Council until this form is turned in. 

• Leaders who like old fashioned paper can keep the pink copy from GSNC's blank forms, or photocopy the printed PDF forms, but SU-1 will scan all completed registration forms and link them to the Troop Information Forms in our database so they can be viewed and printed (by Leaders only!) at any time.

• The new revised Health History and Universal Permission forms will be distributed next September as the 2008-2009 GS year begins for troops.

• If we do not hear from a troop, the assumption will be made that the troop no longer exists and the troop number may be given to a new troop--so please turn in materials on time!
• If you don't know just yet exactly what the status will be for your troop, register continuing Members anyway and any adjustments can be made in September.
