Coordinators
School Coordinators
Responsibilities:
- Maintain a list of troops at the school:
leaders’ contact information, troop meeting time and place,
number of additional girls each troop is willing to take
- Provide school calendar information to the SU Team
- Assist TDM with placing girls in troops
- Assist TDM with monitoring wait list
- Assist in recruiting new Scouts and leaders
- Act as a consultant to leaders in conjunction with
the SU Team for troop parent meetings, troop management,
training, and program
- Assist SU Team with registration events
Registrar
Registrar
Responsibilities:
- Process registration forms and submit to Council per
Council requirements ensuring accuracy and depositing monies
per Council requirements
- Enter registration form data into SU database
- Reply to girl interest and registration inquiries
within 48 hours and contact unplaced girl family per status
within 14 days of interest
- Maintain girl and adult troop roster information and
periodically check with troop leaders for accuracy
- Ensure the confidentiality of names, addresses,
telephone information, and email addresses of all SU
registered Girl Scout members and volunteers
- Assist the TDM with girl troop placement
- Maintain troop folders (at LHH Scout House)
- Participate as a member of the SU Team
Program
Support Manager
Program Support Manager (PSM)
Responsibilities:
- Ensure quality program experiences for girls and
volunteers beyond the troop meeting
- Promote Council, Regional, and Program level
geographic events to the SU
- Oversee all SU events
- Review event proposals for:
- Date conflicts
- Appropriateness per GSUSA program
- PR compliancy per Council requirements
- Safety compliance per Council requirements:
insurance, adult/girl ratio, First Aid, 411 Event form
- Budget
- Review post event:
- Evaluation form
- Financial form
- Event Final Report that includes event
implementation specifics
- Provide the above (#2) written reports to SU
records
- Remain current and advise the SU on GSUSA / Council
program standards, procedures, safety guidelines
- Assess and establish appropriate collaboration with
other community groups
- Utilize community resources to enhance program
- Support and promote Council’s fundraising
and product sales activities
- Participate as a member of the SU Team
Level
Advisor
Level Advisors: Daisy & Brownie, Junior, Cadette &
Older Girl
Responsibilities:
- Be familiar with the Level program: handbook, badge
information,
- girl award process, current leader training for the
Level
- Provide information, resources, and support to new
leaders
- Receive all new leader names in the level from
either
the Registrar or the TDM or the LSM
- Contact new leader to welcome and offer assistance
with procedures, information, etc. and note that the
new leader’s name and contact information will be
forwarded to the School Coordinator who is helpful with local
information and support
- Contact School Coordinator with name and
contact information of new leader and ask that the
coordinator contact the new leader and introduce herself
- Mentor leaders to increase their knowledge of GS
program
- Maintain, with assistance of the Registrar, a leader
roster
of the level and periodically review for accuracy
- Assist TDM with monitoring Volunteer Application
process
- Assist LSM with monitoring leader training
- Follow new leader progress and training timeliness
- Review periodically training records for compliance
- Assist in the conflict resolution process when issues
arise
- Act as a consultant for level discussions at Leaders
Meetings
- Ensure two workshops for the program level are
offered
within the SU during current year
- Participate as a member of the SU Team
Leader

Responsibilities:

Consult with the Council Community Development Director to ensure the health and welfare of girls and adults in the SU
- Ensure that leaders and the SU Team members are versed
in GSUSA and Council goals, policies / standards and
operating procedures through administering, supervising, and
evaluating Leaders and volunteers

Oversee the mentoring of Leaders to increase their knowledge
of the GS program

Oversee Leader Training status and statistics with the level Advisors and ensure SU database entry

Provide support and assist in resolving conflicts that may
arise

Develop, with the assistance of the SU Team, an agenda of SU Team Meetings and facilitate those meetings

Develop, with the assistance of the SU Team, the agenda of regular Leaders Meetings and facilitate those meetings

Ensure a mentoring program is in place

Recognize and promote volunteers

Develop enrichment training at Leaders Meetings

Facilitate the sharing, with the SU Team’s
assistance, of information with the leaders via Leaders Meetings, electronic message, and the SU website

Council personnel

Leaders Meetings

Provide written reports to Council about leader support
activities
- Oversee accurate record keeping and reporting of SU
finances (maintained by SU Treasurer), signed leader agreements,
and leaders meeting attendance

budget with the Team and the Council Community Development Director
